Apollo

Apollo brings your sales team’s calls and outreach emails into Sonora, so the context a customer built up during the sale carries into the relationship that follows. Calls become meetings on the customer’s profile, and their transcripts feed summaries, eCSAT, and feature-request detection. Outreach emails appear on the customer’s timeline.

Apollo is in early access: your Sonora team connects it for you.

  • Calls: metadata (title, date, duration, host, participants) and full transcripts with speaker attribution
  • Outreach emails your team sent from Apollo: subject, body, sender, recipients, and send date

The integration is read-only. Recordings stay in Apollo; Sonora reads the transcripts Apollo already made and never downloads audio or video.

Sonora attaches each call and email to a customer by the participants’ and recipients’ email domains. A call or email that matches no customer in Sonora is skipped. Sonora also skips calls Apollo marks as internal or private, and emails that were scheduled but never sent.

Outreach emails show what your team sent and when. Apollo does not share the text of a prospect’s reply, so replies don’t appear.

  • An Apollo plan that includes API access
  • Access to Settings → Integrations → API Keys in Apollo

Apollo limits a key to the endpoints selected when it is created. Select these three; don’t use a master key, which reaches every endpoint in your account.

Endpoint Backs Without it
conversations_search Listing calls in the sync window No calls are found at all
conversations_show Participants and transcripts Calls are found, then every transcript fetch fails
emailer_messages_search Outreach emails No emails are imported, and the connection test fails

Searching calls and emails is free. Reading a call’s transcript uses one Apollo credit when Apollo has generated AI insights for that call.

  1. In Apollo, go to Settings → Integrations → API Keys and click Create new key.
  2. Name it “Sonora” and leave Set as master key off.
  3. Select the three endpoints above.
  4. Click Create API key and copy the key.

During early access, your Sonora team enters the key for you. Share it through a one-time link from your password manager rather than email or chat.

Sonora stores the key encrypted. Once saved, it can’t be read back from Sonora’s settings, which show only its last four characters. Sonora tests the key against both search endpoints, then imports the last 90 days of calls and emails and syncs incrementally after that.

3. Choose whose activity to import (optional)

Section titled “3. Choose whose activity to import (optional)”

Under People, list the work emails of the people whose Apollo activity Sonora should import, for example your account executives and customer success managers. Sonora then imports only the emails they sent and the calls they joined. Leave the list empty to import everyone’s.

Changes to the list apply to future syncs. Calls and emails already imported stay in Sonora. Calls outside the list are skipped before their transcript is read, so they use no Apollo credits.

During early access, ask your Sonora contact to disconnect Apollo. To revoke access on Apollo’s side, delete the key in Settings → Integrations → API Keys.

“Apollo rejected conversations_search” (or another endpoint) on test: the key is missing that endpoint. Edit the key in Apollo, add it, and test again.

“Apollo rejected the API key” on test: the key was copied incompletely or has been deleted in Apollo.

“Apollo’s API rate limit is nearly used up”: Sonora leaves a quarter of each Apollo rate limit for your own automations. Wait a few minutes and test again; imports pause and resume on their own.

A call or email is missing: check that the customer exists in Sonora with the email domain the call’s participants or the email’s recipients use. If you set a People list, check that someone on it joined the call or sent the email.

A transcript is missing: Apollo processes recordings after the call ends. Sonora checks again on later syncs and picks the transcript up once Apollo finishes.
